QR code print checklist before ordering hundreds of copies

A structured final check for the destination, export, layout, material, proof and long-term ownership of a printed QR code.

Short answer

Verify the destination and ownership first, export a sharp file, preserve the quiet zone and proportions, print one proof on the real material, and test that proof with multiple phones under realistic lighting. Do not approve a large run from an on-screen preview alone.

Confirm content and ownership

Open the destination and complete the intended action on a phone. Check spelling, redirects, permissions and whether the page requires an account. For a dynamic code, confirm which account controls the redirect and who will maintain it after the campaign owner changes role.

Use a final destination intended to remain available. Temporary preview links, file-sharing links tied to one employee and test environments are poor choices for permanent print.

  • ✓Destination uses HTTPS and opens on mobile.
  • ✓The account owner is documented.
  • ✓The short code is named for the placement.
  • ✓The privacy notice covers any measurement.
  • ✓A replacement or pause plan exists.

Check the artwork file

Use SVG for professional layouts when the printer supports it, because it remains sharp at different sizes. A high-resolution PNG is suitable for many office and online uses. Do not copy a thumbnail from a browser or use a compressed screenshot.

Lock the aspect ratio while resizing. Keep the quiet zone visible and check that background artwork does not show through transparent areas. If the code contains a logo, verify that the logo file is embedded in the final export.

Evaluate the material and finish

Glossy varnish, metallic ink, transparent plastic, folds and curved containers can all change scanning behaviour. The code should sit on a flat, stable, high-contrast area whenever possible. Avoid seams and parts of packaging that are discarded before the user needs the link.

Outdoor material needs enough contrast after fading, dirt and water exposure. A protective finish should not create a mirror-like reflection across the whole code.

RiskWhat to inspect
GlossReflections under direct light
CurveAll corners visible from one angle
Fold or seamNo modules interrupted
Transparent stockConsistent plain backing
Outdoor signWeathering and viewing distance

Approve a physical proof

Print at the final dimensions and measure the result. Scan from the normal position using at least two phones. Test in daylight and the actual indoor lighting. If visitors will be moving, test without carefully aligning the camera.

Archive the approved file, destination and test date together. When a future person reorders the material, they should know which exact version passed.

Practical next step

Order one production-quality proof on the real material. Sign off only after the exact proof scans quickly from the intended distance and opens the correct page.
